PTSA Job Descriptions
For all positions, we are looking for volunteers who can commit to the following:
· Devoting adequate time to the position
· Working as a team member with the other officers and board of directors

· Setting aside personal views and agendas to act in the best interest of the PTA
· Modeling good leadership qualities for other board members and for those who may be elected or appointed in the future

OFFICER POSITIONS & RESPONSIBILITIES
Duties of President, Vice-President, Treasurer and Secretary are in accordance with WSPTA Uniform Bylaws.
President (expected time commitment: 5+ hours per week)
· Understand the role of the PTSA and applicable rules and by-laws
· Preside at all meetings using basic parliamentary procedure, and plan meeting agendas with input from others
· Make appointments to positions and committees with approval of the executive committee
· Delegate responsibility and empower others
· Communicate regularly with other officers, chairs and the general membership
· Orient and encourage leadership training for the executive committee
· Participate in Seattle Council PTSA meetings
· Have strong and positive relationships with the principal and staff
· Promote the PTSA
· Be aware of the PTSA’s fiduciary responsibilities
Vice President (expected time commitment: 5+ hours per week)
· Perform the duties of president in the absence or inability of that officer to serve
· Assist the president when called upon
· Assume the presidency when the president’s term is up
Treasurer (expected time commitment: 5+ hours per week)
· Manage the funds of the PTSA on behalf of the membership and the board of directors
· Chair the budget committee and present the budget to the membership
· Understand all rules and bylaws related to finances and membership service fees
· Assure all PTSA funds are promptly deposited
· Keep an accurate and very detailed account of all funds received and all funds disbursed
· Pay all authorized financial obligations of the PTSA in a timely manner
· Prepare and file appropriate federal tax forms in a timely manner
· Preserve all receipts, invoices, bank statements, canceled checks, and other financial records as specified in the records retention timetable
· Submit a detailed, written monthly financial report at each meeting of the PTSA membership and board of directors
· Submit written reports by mail or email to the board during months when there are no meetings
· Develop and present, with support of the budget committee, the budget for the following year
· Submit a final annual report prior to the end of the fiscal year
· Prior to delivery of the books to the successor treasurer, submit the current year’s records to a financial review committee.
Secretary (expected time commitment: 2+ hours per week)
· Take minutes and record all business transacted at each meeting (board and general meetings) of the PTSA, and of the executive committee, making sure all minutes are complete, for approval at the next meeting
· Assist the president in planning meeting agendas
· Issue notices of meetings and other correspondence as needed
· Handle meeting logistics (attendance, quorum votes, call meeting to order when president and vice president are not available)
· Work with treasurer and membership chair to keep an up-to-date roster of members and committees
· Take on other duties as requested by the president

Webmaster and Website Committee Chair
- Lead Website Committee

Technology Advisor to PTSA and Technology Committee Chair
- Lead Technology Committee
- Recommend and evaluate technology investments
Facilities Committee Chair
- Lead Facilities Committee
- Oversee Old Hay School renovation
- Oversee Lincoln HS interim site needs
Legislative Chair
- Lead advocacy efforts to further State and National PTA goals
- Communicate and support advocacy efforts with Local Unit membership
Fundraising Committee Chair
- Lead Fundraising Committee
- Organize and administer fundraising efforts including events or pledge drives
- Seek and apply for grants
Enrichment Committee Chair
- Source, evaluate and recommend alternatives for before/after school care and activities
- Support miscellaneous enrichment activities during school day
- Support Reflections Art contest if applicable
Communications and Public Relations Committee Chair
- Lead Communications Committee
- Coordinate newsletters and mailings to membership
- Lead communication efforts for special events
- Represent Queen Anne Elementary to public
Parent Volunteer Committee Chair
- Recruit and organize parent volunteers for school-related activities as needed
- Coordinator positions and responsibilities are outlined below. Coordinators are not part of theBoard of Directors and are non-voting positions.
Membership Coordinator
- Maintain member information and submit to State PTA as required
- Facilitate and grow PTSA membership
